#Participants

Updated over a year ago

Administrators have the ability to determine Program-specific redirect information for users after a Participant (or Family of Participants) is added or enrolled into a Program.

The selected Program is the default choice in the drop-down at the top of the page; other programs can be managed by selecting them from the drop-down. Selections must be made one Program at a time, even if all Programs in the Site are to be set up identically.

Note: If the "Participant Workflow" feature is enabled (which is done on the "update" page for a program via the Manage Programs feature), the redirect information configured with Manage Add Participant/Family are overridden.

In-Depth Instructions

Participant Redirect Information

Direct the user to a feature by selecting from the following options:

  • Participant Dashboard: Dashboards are considered the best practice method for navigating ETO. The Site Administrator can customize how the Dashboard is configured for each program and user role. Most data entry features are available through the Dashboard, making it a very efficient screen to work from.

  • TouchPoint: The Site Administrator may select one specific TouchPoint or allow users to choose from a list of available TouchPoints. If one is selected, the user will automatically be taken to that TouchPoint for the newly added/enrolled Participant. If users are allowed to decide which TouchPoint to take, a drop-down box with available TouchPoints will appear.

    • Note: Security settings on Participant TouchPoints will be respected. Confirm the appropriate user roles have access to record data for any TouchPoint selected here. If configured to redirect to a specific TouchPoint, security settings on that TouchPoint must include Edit Own Responses in order for the TouchPoint to appear in the dropdown list.

  • Assessment: Select one specific Assessment or allow users to choose from a list of available Assessments.

  • Record an Effort: Select one specific Point of Service element or allow users to choose from a list of available POS elements.

  • Home Page: This will direct the user to the Home Page of the program, which the Site Administrator can customize with instructions and links to features in ETO.

  • A page with a list of options (the Site Administrator can select multiple features, which will appear as a list of links to users - if only one option is checked, the user will be automatically be re-directed to that feature instead):

    • Participant Dashboard

    • Record TouchPoints

    • Add New Participant

    • View/Edit Participant

    • Participant Efforts

    • Participant Assessment

    • Add Referral

    • Add Reliable Contacts

    • Add Employment Record

    • Add Education Record

    • Participant Match

    • Manage All Rooms HMIS

      • If the user selects Manage All Rooms HMIS, the Participant will be enrolled in a room with the Occupancy Start Date that is automatically defaulted to the Participant's Program Start Date.

Add Family Configuration:

This legacy functionality allows for multiple Participants to be added to the Program simultaneously via the Add Participant feature. The vast majority of ETO users opt to utilize the Add New Family feature instead, which is far more robust in terms of collecting Demographics and capturing Program Enrollment. If you are interested in learning more about Add Family Configuration, please contact Support.

Add to Program Configuration:

Check "Add to Program" on the Add Participant screen by default:
Select this option if the majority (or all) Participants added should be automatically enrolled into the selected Program

Make Program Start Date blank by default:
Select this option if it's likely that Participants will be added to ETO on a day other than their Program Start Date. This will help ensure Start Dates are entered accurately.

Show option to enter projected Program End Date:
Select this option if the program operates with projected End Dates. Note that projected End Dates do not have an associated action in ETO. For some customers, they are helpful for reporting purposes.

Dismiss Participants Configuration:

Make Program End Date (dismissal date) blank by default:
Select this option so that the Program End Date is blank by default. If left unchecked, the Dismissal Date will auto-fill with the relative date when using the Dismiss Participant feature.

Show Successfully Completed option:
Select this option to allow a user to indicate that a Participant has successfully completed the program. This option will appear alongside the "Reason for Dismissal".

Family Redirect Information:

Select the Manage Add Family tab to direct the user to a feature after Adding a New Family by selecting from the following options:

  • Family Dashboard: Dashboards are considered the best practice method for navigating ETO. The Site Administrator can customize how the Dashboard is configured for each program and user role.

  • TouchPoint: Select one specific TouchPoint or allow users to choose from a list of available TouchPoints. If one is selected the user will automatically be taken to the TouchPoint for the newly added/enrolled Family. If the users are able to decide which TouchPoint to take, a drop down box with available TPs will appear. Please note, security settings on Family TouchPoints will be respected (confirm the appropriate users have access to record data for any TouchPoint selected here).

  • Home Page: This will direct the user to the Home Page of the program, which the Site Administrator can customize with instructions and links to features in ETO.

  • A page with a long list of options (the Site Administrator can select multiple features, which will appear as a list of links to users - if only one option is checked, the user will be directed to that feature instead):

  • Family Dashboard

  • Record TouchPoints

  • Add New Family

  • Add Referral

  • Manage All Rooms HMIS

  • If the user selects Manage All Rooms HMIS, the Participants in the Family will be enrolled in a room with the Occupancy Start Date that is automatically defaulted to the Participant's Program Start Date.

Add to Program Configuration:

Make Program Start Date blank by default:
Select this option if it's likely that Participants will be added to ETO on a day other than their Program Start Date. This will help ensure Start Dates are entered accurately.
