Users with access to the View Reports page on the Navigation Bar will have access to all new reports. The ability to limit access to an individual report by role is available on the View Reports page.

You can give any user role access to the “ETO Results” and “View Reports” features on the Navigation Bar. There are two different things to keep in mind about how the security functions based on user role: access to data in general and user access to edit other users’ reports.

Accessing Reports

In terms of users accessing data, ETO Results handles the security based on reporting role, user role, and Program access:

  • The reporting role determines if the user will see data across all Sites.

  • The user role checks for access to Sites before displaying the data.

  • Program access checks Sites and Programs that the user has access to before displaying data.

An Enterprise Manager reporting role gives you full access to all Sites/Programs in the Enterprise. ETO will not run a check on a user with an Enterprise reporting role, even if their user role is lower and limits their access to certain Sites/Programs.

A Site Manager reporting role gives you access to reports from any Site that your user role has access to. It does not check to see which Programs your user role may limit the account to.

A Staff reporting role gives you access to reports only from the Programs the account's user level has access to. The reports will only display information about participants who have history in the Programs the account has access to.

Editing Reports

In terms of editing reports, this is also based on reporting role:

Enterprise Managers will be able to edit reports that they have built, reports built by other Enterprise managers, and reports build by any other reporting role as long as those reports are saved in a public folder.

Site Managers will be able to edit reports that they have built, reports built by other Site Managers, and reports built by ANY role that are saved in a Site folder that the Site Manager can access. Site Managers cannot save or edit reports in the Enterprise public folder.

Staff will be able to edit reports that they have built and are only able to save these reports in their personal favorites folder.

All roles have the ability to save a copy of an existing report to edit and all roles have access to a personal “My Favorites” folder for storing reports privately.

  • Should you ever need to access another user’s My Favorites folder, you can contact ETO Support to copy the reports into a different place.

Managing Reporting Roles

Typically, the reporting role will default to the user role level. For example, Enterprise Managers will have an Enterprise reporting role, Site Administrators will have a Site reporting role, and anyone below that (including department heads and Program managers) will have a staff reporting role.

However, you can adjust a user's reporting role on the Manage User Accounts page if you would like to give someone a higher or lower reporting role than the user role assigned to their account (for example, an evaluator that shouldn't have access to edit your configuration in ETO but should have access to all reporting data).

Also note that reporting role only applies to ETO Results. It does NOT apply to Query Wizard or Standard Crystal reports. Reporting role also does NOT restrict data from universes created in Query Wizard.
