What are Dashboards?

My Dashboard and the Participant Dashboard provide streamlined navigation in ETO. Using and understanding the dashboards in ETO is key to helping you reduce the amount of time it takes to enter data in your system. A default dashboard is active in all user accounts.

  • My Dashboard: This is the dashboard the user would see when they go to “My Dashboard” or when they log on to ETO (if you have it set up that way). It will show you the most recent activity that was completed by the User.

  • Participant Dashboard: This is the dashboard the user would see when they click on a Participant name. It will show you the most recent activity for the Participant.

All dashboards are made up of what are called “ETO Parts.” ETO Parts are selections of information that can be pulled over on to a Dashboard. You can also customize each ETO Part individually by adding, removing, and editing the ETO Parts.

Editing Dashboards

The process of editing My Dashboard and the Participant Dashboard are the same, though the parts that you will add to each dashboard will be distinct. The set-up and content of both Dashboards is user-account specific; each staff member and volunteer will need to configure their own! Your agency can elect to set a dashboard template so individual users will not have to configure their own dashboards. Please see Creating Dashboard Templates.

When editing any dashboard, the first step is to click on the “Edit Dashboard” button in the upper right-hand side of the dashboard.

After you click on this button, you will be able to move around the ETO Parts that are currently on your dashboard. When you are in the edit dashboard screen, each ETO Part has four icons that you can use to edit the ETO Part.

  • In addition to editing individual ETO Parts, you can also add additional ETO Parts to your Dashboard. When you click on the “Edit Dashboard” link, two new boxes will appear near the “Edit Dashboard” button: “Add ETO Parts” and “Reset to Default.” To add new ETO Parts, click on the “Add ETO Parts” link. A box will appear on the left-hand side of your screen with a list of all the ETO Parts (Figure 1).

Each ETO Part can be placed in a different zone (location) on the dashboard. A description of each ETO Part in the Catalog are on the next page.

NOTE:

You can add ETO Parts to your Dashboard more than once.

ETO Dashboard Parts Descriptions:

Alerts – create specific alerts

Custom Page – Displays custom Title and URL of inserted website. To add this information, click the edit button once the ETO Part is added to the Dashboard and copy and paste the URL into the URL block.

ETO Insight - Displays information for the selected performance measure configured under Manage ETO Insights

Groups - Lists groups available to the current staff member or participant, including group name, start date, and end date. Lists groups available to the current staff member or participant, including group name, start date, and end date.

My Caseload - Displays a list of the participants on a user's caseload as well as the date the participant was added to the caseload. Each participant's name will link back to the Participant Dashboard. Users with access to manage their own caseloads will have the ability to add and remove participants from their caseloads.

Query Wizard ETO Part - This part should only be used if the dashboard template is not locked for editing.

Displays query results from saved queries that have been set to “shared”? as an ETO Part Source. For this feature to work properly, the Participant Unique Identifier must be selected to appear as a column in the query results. Multiple queries can be shared and made available within one part, or a unique part may be added to house each query so that the results may appear simultaneously.

Recent Assessments - The five most recent participant assessments the user has completed will be displayed. Links to edit and add similar assessments will appear if the selected program contains the participant and assessment listed. After submitting edits and adding a new occurrence of the assessment, the user will be returned to My Dashboard. This makes navigating from My Dashboard a user-friendly experience.

Recent Disbursements - The five most recent TouchPoints the user has completed will be displayed. Links to edit, delete and add similar will appear if the selected program contains the participant has the security permissions to take these actions. After submitting edits and adding a new occurrence the user will be returned to the previous Dashboard.

Recent Efforts - Lists the five most recent efforts the user has recorded will be displayed. Links to edit and add similar efforts will appear if the selected program contains the participant and point of service listed. After submitting edits and adding a new occurrence of the effort, the user will be returned to My Dashboard. This part can be filtered to display just one point of service. If this option is selected, the five most recent efforts for this one point of service will display in the part. Multiple Recent Efforts parts can be included on one dashboard, each filtered to a different point of service.

Recent Participants/Entities - Displays the five most recent participants worked with by the user. Selecting the name of the participant will take the user to that participant's dashboard.

Recent Referrals (NEW) - Lists the five most recent referrals (all types) completed for the selected participant. Links to edit and add new referrals will appear. After submitting edits and adding a new referral, the user will be returned to the selected Participant’s Dashboard.

Recent TouchPoints - The five most recent TouchPoints the user has completed will be displayed. Links to edit, delete and add similar will appear if the selected program contains the participant has the security permissions to take these actions. After submitting edits and adding a new occurrence the user will be returned to the previous Dashboard.

The fields below can be selected to provide more detail to the Recent TouchPoint ETO Part, and can be filtered by Subject Type and TouchPoint Name:

Rejected ETO Money Case Notes - This part is specifically for ETO Money customers that use the Case Note Approval Process. It displays case notes created by the user that have been rejected by an approver in ETO Money; the billable service, effort date, reason for rejection and rejection comments are listed for reference. Staff can adjust the rejected note from the part using the Edit link next to each rejected effort. After submitting edits, the user will be returned to My Dashboard.

Report - Displays reports created with Web Intelligence including custom reports built with ETO Results and Query Wizard Plus. To have reports display on the Participant Dashboard, a filter needs to be included in the report for "Participant Site Identifier," allowing the report to return for just the participant whose dashboard is selected. To have reports display on the Entity Dashboard, a filter needs to be included in the report for "Entity Site Identifier," allowing the report to return for just the entity whose dashboard is selected.

Please be aware that if you add a report that the current user does not have access to, an error will be displayed, and the report will not display on the dashboard.

Search - Search the site using first name, last name, first last name, or some part of either. Select a participant's name from the search results to be redirected to that participant's dashboard.

SharePoint List - Allows the user to pull lists their organization's SharePoint service into My Dashboard. Once this part is added, the user will be asked to edit the part. On the edit screen, the user will enter the SharePoint Login, SharePoint Password, and SharePoint URL. Once logged in, the ETO Part will include a drop-down box of SharePoint lists. Click on the link to access it. If the user is logged into SharePoint, the page associated with the link will pop up immediately, if not, the user will be prompted to enter SharePoint Credentials

Creating Dashboard Templates (Site and Enterprise Admins Only):

On the left-hand blue navigation bar, go to “Site Administration.” On the drop-down menu, select “Manage Dashboard Templates.” On this page, there will be a list of available templates for your ETO Site. To add a new template, at the top of the page, click New Template.

You will select a Template Type: Participant or Staff. The participant Dashboard will be seen when you are on a participant screen and the template is in use. The Staff Dashboard will be seen on each users’ individual dashboard.

Name your Dashboard Template. Make sure the radio button is checked for “Site” as this will make your template unique to your ETO Site.

Edit the dashboard following the instructions previously provided. Click Done Editing. You will be brought back to the Dashboard Templates Page. You must assign a Dashboard Template to your site for it to be used. Click on the name of the Dashboard Template.

Click on Add Assignment. Select your site. Select which programs under your site you want the Dashboard Template to be available. Select which user roles you would like to have the Dashboard Template be available to.

Select whether you want to allow users to edit their own dashboard. Click Save. You will then see your Dashboard Template assigned to your program.
